What has podcasting to do with Jusvista?

Jusvista is the application platform to process and integrate podcasts produced by your business and reviews of your business by your customers on your websites and on your business app. The same collaborative process based on our Visible Team Action (VisTA) Methodology is used to respond to voice-based queries and requests to you by customers to deliver services on time.

Is Jusvista another project management tool?

Jusvista is an enterprise solution that helps the entire organization to focus on improving customer experience. It impacts the way a) customers communicate and interact with your business (Customer Care); b) your team members deliver client services in an orchestrated fashion irrespective of the location or association with your organization (Project Management); c) your customer engagement are consolidated (Customer Relations); d) you communicate with your customers and stakeholders (Public Relation and Marketing).

How does Jusvista help in on-time delivery of a task?

Visible Team Action (VisTA) methodology fosters collective responsibility by creating positive pressure to deliver a task on time. It does so by creating a transparent and collaborative process. Every team member and the Managers can see the status of the task vis-à-vis its estimated completion time in order of criticality; who is made responsible for which sub-tasks within a task and if there are any issues in completing these sub-tasks; and the exchanges between the client and the assigned executor who takes end-to-end responsibility to accomplish the task. Once an operator finishes her sub-task, he is released from the team. How does Jusvista work?

What happens if a bad review is made?

Before anyone, you would get to hear reviews about your business on Jusvista first. If you do not have a problem with the review, you let it be published and at once it would appear on your website and on all Justori platforms. However, if you feel that the review is justifiably adverse, you may request the reviewer to defer it for you to find a resolution within 5 working days. If the reviewer accepts, there will be a delay of 5 days before the review appears on all Justori platforms, unless it is deleted by the reviewer. No review unless approved by you would appear on your website.

Can I get paid for my podcasts?

It will depend on you to put in place payment system on your website or business app. Podcast marked as Private or Premium are not accessible for public audience. These will be channeled automatically to designated webpages on your website and tabs within your business app for you to use your payment system for visitors to pay to listen to your podcast.

Would Jusvista work for my organization the way we work?

Jusvista is completely scalable and flexible. It can fit any organization of any size and structure. From a large multinational company to mom-and-pop shop to people engaged in professional activities; from profit making companies to not-for-profit organisations to public sector agencies - all can easily use Jusvista, with or without changes to their working arrangements. How is Jusvista organised?

How does Jusvista fit into the existing information systems of my business?

On one hand, Jusvista is a high level platform to manage your podcast-based communication and on the other hand, Jusvista facilitates assigning tasks and reporting status of completion of tasks. While it simplifies various aspects of collaboration among team members by reducing time spent on arranging and conducting meetings, chasing team members to get jobs done, contact centre activities etc. it complements operation specific information systems. For example, it can work hand in hand with a specialized project management tool by giving a quick overview of the actual status of different projects at a glance. At the same time, it is used to seamlessly upload podcast for Public Relation on business websites.

How is confidentiality maintained?

Besides infrastructure and application level security, Jusvista uses role-based access control to perform actions and every action is logged. You may export your tasks to its entirety out of Jusvista and store within your internal systems while deleting it from Jusvista.

How does Jusvista work?

Podcasts produced on Justori by you and Reviews, Queries or Requests made by customers are recorded on Justori or on your website. The audio content, together with any document, images etc. if any, is sent by the customer to the primary contact of the Jusvista platform of your specific Business Unit (BU). The primary contact assigns the tasks to an executor. The executor accepts the assignment and estimates the time to complete the task. Then she selects her team members from the registered users under that business unit. The task then appears on the Jusvista platform of each of the team members. The task also automatically appears on the Jusvista lounge of the designated Managers of that business unit. Thereon, the executor, team members and the Managers use a shared comment box to assign sub tasks, give feedbacks, seek help, make queries, provide support etc. to complete the assignment. Team members are notified over emails and on their notification panel at the Jusvista lounge. All events relating to the task are logged and visible to the team. A task including all its details can be exported to the management system of your business and can also be transferred to another BU for subsequent actions. For example, after providing a service to a customer, the task is transferred to the Accounts BU together with its history for billing.

How do my customers connect with my business?

Your customers may use the Justell feature from Justori app to send Reviews, Queries and Requests (RQR) directly to the relevant BU of your business. Provided you have placed the Justell code on your business website, your customers can send RQR from your business website. Also, your customers can send the RQR from the general Justell website justell.justori.com. Customers can find the status of their RQR from their Justori or Justell account. All exchanges with the customer over the Justori app is also recorded on the task bar which can be viewed by all team members attending to the task.

Do my customers have to be registered on Justell to be in touch with me?

No. All you have to do is from the set-up allow unregistered customers to send you RQR. Such unregistered customers can still send their relevant information to you using the message box. However, management of these information will have to be done manually and data from the corresponding transaction will not be part of your management information on your dashboard.

How is the status of the task monitored?

At the core of Visible Team Action (VisTA) Methodology is how the task is performing vis-à-vis the estimated time to complete it. Once the executor estimates the time to complete a task, the percentage of time remained to finish the task is displayed on a color-coded status bar of each team member. The colours in the bars indicate actions underway. These are usually idle, processing, corresponding and completion types. If the task overshoots the estimated time, it is carried over to the second bar representing the same duration of the originally estimated time thus over all the team gets double the originally estimated time to complete the task. If the task at the end of twice the estimated time of completion is still not completed, the task is evidently out-of-control and its status appears on a single cell. Meanwhile all active task for each team member and managers of the business unit appear in order of criticality thus drawing attention to most critical tasks at any point of time to address the causes of delay. Once a task is completed, the state of its completion (Closed, Declined etc.) is represented on the fourth bar. Once a team member is no longer required for the task, she is released from the team and the task no longer appear on her Jusvista platform. Hence a positive pressure is there for all team members to complete their part of the task and move on to the next while the rest work towards completing the remaining sub-tasks.

Who manages Jusvista in an organization?

The Master Admin is overall responsible for Jusvista on behalf of your business and setting up Jusvista for your business. The Master Admin creates BUs, BU admins, Manager(s) for different BUs and be responsible for the main BU activities. However, BU Admins are responsible for the specific BU activities. Thus the workload of managing Jusvista is distributed across BUs.

How is Jusvista organised?

Master Admin may create any number of mutually exclusive BUs. BUs can be by department, division, geography, competence, functions, shift etc. For each BU, roles are set by giving rights of action (e.g. assign, execute, dispatch, export etc.) that can be performed on Jusvita platform by the assigned users. Next the admin adds users and BU representatives (known as Coordinators). Anyone with an email address can be added to a BU. The two key user roles are that of the primary contact, responsible for distributing tasks and those users with execution rights involving taking end-to-end responsibility of tasks and interacting with customers. When invited to a team, Coordinator of a BU play the role of a coordinator between her home BU and the team of the BU performing the task. A BU may have one or more Managers and a Manager may be responsible for one or more BUs.

What happens if a task involves participation of several BUs?

BUs may assign coordinator role to some of its staff. Coordinators of a BU can be team members for tasks assigned to other BUs. The role of a coordinator is to ensure that subtasks assigned to her BU is done and to be a liaison between her BU and the BU assigned with the task.

What happens if a task upon completion needs follow-up actions by a different BU?

Once a task is completed it may be either closed or closed and transferred to another BU for follow-up actions. A transferred task becomes a new task while its earlier task number, associated event log and messages are captured under the new task.

Can a task be reassigned to another executor?

Yes. A task can be reassigned to another eligible member of the BU. Such reassignment is a continuation of the task and thus the originally estimated timeline remains unchanged.

Can an executor be coordinator also?

Yes. A coordinator can be assigned with any role to perform within her BU. So, if the role to execute is enabled for coordinators of a BU, staff with right to coordinate can execute as well. Indeed, if a coordinator with the right to execute is made a team member of another BU responsible for a task, she will join in as a coordinator only.
